Welcome to Dental Designer UK. By using this website and engaging with our design services, you agree to the following terms and conditions. Please read them carefully before proceeding with any project.

1. About Us

Dental Designer UK provides specialist graphic, branding, print, and digital design services for dental practices and dental professionals across the UK.

Services may include:

  • Branding
  • Print design
  • Digital design
  • Marketing materials
  • Referral packs
  • Social media graphics
  • Signage design
  • Presentation and promotional materials
  • General graphic design services

We do not provide website development services unless otherwise stated.

2. Quotes & Project Acceptance

All quotations provided are valid for 30 days unless otherwise agreed.

A project is considered accepted once:

  • Written approval is received by email or message
  • A deposit invoice has been paid
  • The client requests work to begin

By approving a quote or making payment, you agree to these Terms & Conditions.

3. Payment Terms

Unless agreed otherwise, projects are typically billed as follows:

  • 50% upfront deposit before work begins
  • 50% balance upon project completion and before final files are released

For ongoing clients or established working relationships, alternative billing arrangements may be agreed, including invoicing upon completion or monthly billing schedules.

In some cases, a non-refundable deposit may be required before work begins.

Invoices are payable within 14 days of issue unless otherwise agreed in writing.

Late payments may result in:

  • Delayed project delivery
  • Suspension of ongoing work
  • Additional charges where appropriate

If a project is delayed, paused, or becomes inactive for more than 30 days due to lack of communication, feedback, or required materials from the client, Dental Designer UK reserves the right to issue the final invoice for work completed up to that stage. Payment will then become due in accordance with the agreed payment terms.

Dental Designer UK reserves the right to retain final artwork files until full payment has been received.

 

4. Revisions

Reasonable revisions are included within the agreed project scope and are intended to refine an approved design direction.

A revision is considered an adjustment to an existing concept, such as minor text edits, layout refinements, colour adjustments, or small content updates. Revisions do not include completely new design concepts, significant layout restructuring, or changes that substantially alter the original approved direction or project brief.

Additional charges may apply where:

  • New content is added that significantly changes the layout or design
  • The client requests a new creative direction after approval
  • The agreed project brief changes during the project
  • Additional pages, formats, versions, or assets are requested
  • Work outside the original scope is requested

Where substantial changes are requested, Dental Designer UK reserves the right to re-quote the project or charge additional design time accordingly.

 

5. Client Responsibilities

Clients are responsible for:

  • Providing accurate content, text, images, and information
  • Reviewing proofs carefully before approval
  • Responding to feedback requests in a timely manner

Dental Designer UK is not responsible for errors approved by the client during the proofing stage, including spelling, grammar, contact information, or factual inaccuracies.

6. Artwork Approval

Final approval from the client confirms acceptance of the design, layout, content, spelling, imagery, and overall artwork.

Once approval has been given:

  • The project may be considered complete
  • Further changes may incur additional fees
  • Dental Designer UK is not liable for errors identified after approval
  • Responsibility for any approved content, wording, specifications, or design elements transfers to the client

Any amendments requested after approval may be treated as additional work and charged accordingly.

 

7. Print Production

Where print-ready artwork is supplied:

  • Clients are responsible for checking specifications with their chosen printer
  • Minor colour variations between screen displays and printed materials may occur
  • Dental Designer UK is not liable for printer errors or production issues caused by third-party suppliers

Dental Designer UK is not responsible for the final print outcome, quality, colour accuracy, material finish, or production issues relating to items produced by third-party printing companies or suppliers.

If print management services are provided, timings may depend on supplier schedules and availability.

 

8. Intellectual Property

All concepts, drafts, visuals, artwork, and unused design proposals created by Dental Designer UK remain the intellectual property of Dental Designer UK unless otherwise agreed in writing.

Upon full payment of all outstanding invoices, the client receives the right to use the final approved artwork for its intended business and marketing purposes.

The client does not obtain ownership of:

  • Unused concepts or draft work
  • Working files unless specifically agreed
  • Licensed fonts, stock imagery, or third-party assets
  • Any preliminary or rejected design directions

Dental Designer UK retains the right to display, publish, and promote completed design work within portfolios, case studies, websites, social media, marketing materials, presentations, and other promotional content unless otherwise agreed in writing or where confidentiality has been specifically requested by the client.

Where licensed assets, fonts, stock imagery, or third-party materials are used, these may remain subject to their original licensing terms and restrictions.

The client is responsible for ensuring they have the appropriate rights or permissions for any content, imagery, logos, or materials supplied to Dental Designer UK for use within a project.

 

9. Cancellation

If a project is cancelled after work has commenced:

  • Any deposit paid is non-refundable
  • Additional payment may be required for work completed up to the cancellation date

Dental Designer UK reserves the right to cancel a project where:

  • Communication breaks down
  • Payments are significantly overdue
  • Abusive or inappropriate behaviour occurs

10. Turnaround Times

Estimated timelines are provided in good faith but may vary depending on:

  • Project complexity
  • Client response times
  • Revision requests
  • External supplier schedules

Delays caused by late client feedback may affect agreed delivery dates.

11. Liability

Dental Designer UK will not be held liable for:

  • Loss of revenue or business
  • Indirect or consequential losses
  • Third-party printing or production errors
  • Delays outside reasonable control

Clients are responsible for ensuring all final content complies with advertising regulations, copyright laws, and professional standards.

12. Website Use

All content on this website, including text, graphics, branding, and portfolio work, is protected by copyright.

You may not:

  • Copy or reproduce website content without permission
  • Use portfolio work for commercial purposes
  • Misrepresent work created by Dental Designer UK

13. Privacy

Any personal information submitted through this website will be handled in accordance with our Privacy Policy.

14. Changes to These Terms

Dental Designer UK reserves the right to update these Terms & Conditions at any time without prior notice.

The latest version will always be available on this website.

15. Governing Law

These Terms & Conditions are governed by the laws of the United Kingdom.
